Add Appointment


To add an appointment, double-click anywhere on the calendar to open an Add/Edit Appointment dialog box. This will allow users to enter all appointment information manually. The other way to add an appointment is by clicking on the Add Appointment button on the top-right screen. 


When scheduling an appointment, users are encouraged to use the Measure’s Filters feature (Right-side filter menu), which can be used to help identify appropriate providers based on criteria including availability, qualifications, and zone.


A user can create billable as well as non-billable appointments as per the permissions. By default, while adding/editing appointments, the user will be able to view fields for the billable appointment. Selecting non-billable will open a new tab to fill in information for the non-billable appointment.



Billable Appointments



A user can create a treatment team here as well. By selecting the client, under the drop-down for Provider, the user will be able to view all the providers of the client's treatment team. Clicking on the All Providers checkbox will allow the user to view all the providers under the Provider drop-down option and by creating the appointment the provider will automatically be added to the client's treatment team. 


By selecting the Schedule Start Time and End Time, Schedule Minutes/Hours will automatically mention the duration of the session.


Below are the description of the checkboxes:


1. Ignore Rules - Enabling it will disregard all the set rules/permissions in the system and will create the appointment. Eg. - Ignore rules will schedule over available hours.

2. Do not Bill - The client will not be billed for the session. 

3. Do not Pay - The provider will not be paid for the session. 

4. Make Up - Make up for any previous session. 


A user may create recurring appointments by selecting the appropriate rate of recurrence from the RecurrenceRule dropdown menu.



Non-Billable Appointments



The same details need to be filled in for the non-billable appointments as well except there are no Do not Bill, Do not Pay, and Makeup checkboxes.



This is how an appointment will be displayed on your calendar upon successfully creating it:



To see the details of an existing session, click on the appointment. 




If you click on the Address, it will take the user to the google map of that address.


Click on Appointment Details to view all the information related to the appointment. It will open a new tab and will display all the details of the appointment which can be seen below.


Clicking on Monthly/ Total authorization will open a new tab where you select the month, year and click on 'Go' to view information such as total hours (total auth) for the month, schedule hours for the month.


To edit a session, double-click on the appointment and edit any necessary information. Remember to click ‘Save’ before closing the appointment.
