Overview

This guide was developed to help users understand the functionality of MeasurePM’s Token Board feature. The Token Board feature can be configured with programs or used as a standalone feature. You can configure with programs on the Web-App and Mobile-App, and can modify Token Board settings from the the Mobile-App. Some Token Board settings are permission based, which means only authorized individuals will be able to edit them.  

Permissions

To allow a staff member to edit the Token Board schedule on the app, ensure this permission is checked for their user group. To find this setting you will go to the Admin page, which can be found on the lefthand navigation bar on the web. Select the Access Key icon beside the group who’s access you’d like to change. Once selected, the permission settings will appear. You can either search for the Edit Token Board Reinforcement Schedule permission using the funnel tool or scroll to find it. 

Once the permission has been granted, the user will have the ability to change the schedule of reinforcement from the Mobile-App.

The user will be able to change other Token Board settings with or without the above permission granted. 

Configuring Programs to Use Token Boards  

There are 3 ways to configure the inclusion or exclusion of the Token Board for programs. 

  1. From the Program/ Goal Library 
  2. From the Client Clinical Profile on the Website
  3. From the app

Configuring from Program/ Goal Library 

When setting up a new program or editing an existing program in the Program/Goal Library, there are multiple configuration steps, one of which is the inclusion/exclusion from the token schedule. The default selection is "Include in Token Schedule" across the target statuses displayed in the image below. If you would like to exclude a program from the schedule, select the "Exclude From Token Schedule" checkbox.

Configuring from Client Profile 

Your program settings can be modified once a program has been assigned (i.e., mapped) to a Client Clinical Profile. You can access the profile to do so in 2 ways: 

  1. Searching the client’s name under Clinical Settings > Client Clinical Profiles. To access this page you will: 
  1. Select Clinical Settings from the left-hand navigation bar.
  2. From the Clinical Settings drop down menu, select Client Clinical Profiles. 
  3. From there, scroll to the client of interest or search for the client via the available funnel icons (e.g., by name, funding source, number of programs/behaviors, and status). 
  4. Once you have found the client you were searching for, select the pencil icon to edit. 

OR

  1. Clicking on the pencil icon on the Client Clinical Profile widget found on the client dashboard. To get to this page you will: 
  1. Select Clients from the left-hand navigation bar.
  2. From the Clients drop down menu, select List Clients. 
  3. From there, scroll to the client of interest or search for the client via the available funnel icons (e.g., by last name, first name, funding source, supervisor, language, status and zone).
  4. Once you have found the client you were searching for, select the client’s name. This will bring you to the client dashboard.
  5. Scroll down until you see the Client Clinical Profile widget and select the pencil icon. 


Once in the Clinical Profile, select the pencil icon beside the program to edit.

Then scroll down, and you will find the option to exclude the program from the token schedule. Select the pencil icon to edit, and you can select/ deselect the checkbox to include or exclude the program from the token schedule. 

From here you can edit the following:

  1. Exclude or Include radio buttons
  2. Modify the target statuses that interacts with the Mobile-App's Token Board (i.e., Token Board will detect correct target responses across the configured statuses).

 Once you are finished editing, select the floppy disc icon to save or the X to discard changes.



Configuring from App

You can also edit/update programs on the app, with the applicable permissions granted. To edit a program on the app, select the program requiring edits and select the top right hand lock icon. If permission is granted, the lock will unlock, and the user can scroll to the bottom of the program settings to edit the exclusion from Token Board. 



Configuring Token Board on App

Once you have edited the desired program, you can proceed with configuring the Token Board.

Token Board setting can be changed both within and outside of an appointment. If you are outside of an appointment, first navigate to My Clinical Profiles > search for client of interest. Once in a Client Clinical Profile, you can access the Token Board by selecting the Token Board icon located on the far right of the bottom navigation bar.

Once on the board, you can edit the settings by selecting the wheel icon in the top left corner.

The configurable sections include: (i) Token Board character, (ii) background theme, (iii) number of token spots on the board, and (iv) token type (i.e., animation). You also have the ability to introduce a schedule of reinforcement (i.e., fixed and variable schedules) if you have the relevant permission turned on. The app will notify you when it is time to deliver a token based on the configured reinforcement schedule. To change these settings, use the blue left and right toggle arrows below the "Reinforcement Schedule" section. If your device has vibration abilities, you can have set the device to also vibrate when it is time to administer a token by checking the "Vibrate" box. Should you want the client's collected tokens to save on your device so that the tokens will be displayed for for subsequent appointments, ensure you select the "Save this client's delivered tokens to the current device". Once you are satisfied with your choices, select “OK” to save or “Cancel” to discard the changes. 


Once you have made all necessary settings changes, you are now able to start awarding tokens by tapping on the circles. When tapped, a star (i.e., token) will appear. You can also remove delivered tokens by tapping on an existing token.

Tokens can be administered at any time. However, the app will also remind you to give tokens based on selected reinforcement schedule, which aligns with your data collection. The app notifies you by lighting the tokens tab in green, as seen below, and by vibrating (if configured to do to this). This will only occur for data collection of programs and target statuses included in the token system. If excluded, it will not cause the token board icon to flash or the device to vibrate.

At the same time the Token Board icon flashes green, a "Dismiss alert" pop-up will allow appear directly above the icon. This pop-up will only appear when the board detects the number of consecutive correct responses based on the configured scheduled of reinforcement. 


You have the following options available to you:

  1. Select the Token Board icon and award a token. Once you have selected the Token Board icon, the icon will stop flashing green and the program icon will then flash to remind you where you were, as seen below.

  2. Select "Dismiss alert" to stop the icon from flashing and ignore detection. For example: if a FR2 schedule is configured and detected, however it is not an opportune time to deliver a token (e.g., client is engaging in a behavior), the provider can choose to dismiss the flashing prompt; doing so will reset the schedule of reinforcement (i.e., two consecutive correct responses needed to be recorded for the icon to again flash green).
  3. Ignore both the flashing Token Board icon and the "Dismiss alert" pop-up, and continue data collection. 


If at any point you need to start a new Token Board or clear the board, you can reset it at any time by selecting the wheel in the top righthand corner.

After selecting, a pop-up will prompt you to confirm the reset. This also occurs when you edit the number of tokens on the board or alter the reinforcement schedule. Select “OK” to continue and “Cancel” to discard changes and return to the board. 


Reminders

  • You can change the permissions to allow user to modify token reinforcement schedule at any time. 
  • You can change the program settings to be included/excluded from the token system at any time. 
  • You can change the token board settings (e.g., character, theme, etc.) at any time. 
  • When in an appointment you can access the Token Board and award tokens at any time.
