Overview

This guide was developed to provide MeasurePM users with an overview of how to render appointments. Rendering an appointment refers to saving a completed appointment, which includes committing all session data (i.e., program data, behavior data and ABC data collection). Once an appointment is rendered, users are no longer able to collect data, but users with permission will be able to edit, delete, and add historical data. Appointments can be rendered both on the Web-App and Mobile-App, both of which are described below. Upon rendering, the appointment status change will sync to the server, meaning the appointment status will be updated and viewable from both the Web-App and Mobile-App. 


Please note that the available appointment statuses are dependent upon your site configurations and your permissions. To render appointments, the user group will need to have the Rendered appointment status set in their available statuses. To verify the available statuses for an individual or group, navigate to the admin tab. From here, select the pencil icon beside the group you would like to view/edit. From the edit group pop up, you can ensure all members in the Group have the “Rendered” tag in the Status box, as seen below.

 

As long as the user has the status available in the group edit section, they will be able to render appointments, however there are additional permissions to take note of. To set permissions, return to the Admin tab and select the key icon beside the group you would like to view/edit. The permissions related to rendering include AllowRenderAndUnrendered and SoapNoteListView. It is up to the site to determine whether both, one, or neither is to be applied to users. The permission AllowRenderAndUnrendered allows users outside of whom ran the appointment to render and unrender sessions (e.g., a supervisor who was not the therapist who ran the appointment with the client). The permission SoapNoteListView restricts the ability of user to render an appointment without first completing and submitting soap notes. To grant the permissions, simply select both checkboxes followed by the Save button (see example in first photo) and to restrict the permission, leave the checkboxes unselected (see example in second photo).


Rendering Appointments on the Web-App

Users can render Appointments on the Web-App through My Appointments-List View and through Appointments-Calendar View and Timeline View.


My Appointments

Upon selecting List Appointments, all appointments for that day will be displayed. To view past and upcoming days, users can use the left and right arrows on either side of the displayed date found on the top left side of the page. Users also have the option to view the appointments by day, week or month by selecting the corresponding buttons found on the right side of the page. 

To render or change the status of an appointment, select the pencil icon under the Edit column corresponding to the appointment that you would like to render. 

Once selected, move the scroll thumb to far right side of the bar. Under the status column, select the drop-down menu and select Rendered. The options available in the drop-down menu will be site specific. This means the options may vary from what you see in the image below. Once you have updated the status, select the checkmark in the Edit column to save.



Appointments

Upon selecting Appointments, all appointments for that day will be displayed via the Calendar view. 

To view past and upcoming days, users can use the left and right arrows on either side of the displayed date found on the top left side of the page. Users also have the option to view the appointments by day, week or month by selecting the corresponding buttons found on the right side of the page. To render or change the status of an appointment, first double click on the appointment of interest. This will result in an Add/Edit Appointment pop-up. From here you can modify the status of the appointment by selecting Rendered in the Status dropdown menu. To ensure all status changes are saved, select the blue Save button in the bottom right of the popup after making your changes. 

An alternative way of changing appointment statuses is through List view, where appointments displayed is dependent upon selections made in the available filters.

After filtering to find an appointment(s), you can change the status of the appointment by selecting the pencil icon under the Edit column corresponding the appointment that you would like to render. 

Once selected, move the scroll thumb to far right side of the bar. Under the status column, select the drop-down menu and select Rendered. The options available in the drop-down menu will be site specific, meaning they may vary from the available options in the image below. To save the status update, return to the Edit column and select the check mark.

Rendering Appointments on the Mobile-App

Users can also render appointments on the Mobile-App. This can be done through the Employee Dashboard (within and outside of an appointment) or through the Client Dashboard (within an appointment only).


Employee Dashboard

To get started, log onto your Mobile-App as a provider. The Employee Dashboard will open upon log in. From there, you can view appointments displayed in the appointment preview window or select My Appointments to view, edit, or schedule appointments. Such changes to appointments can be made both outside of an appointment and within an appointment. See the Creating Appointments Guide for more detail on creating new appointments. 

To change the status of an appointment from the My Appointments page simply select the appointment of interest.  


Once selected you will have the opportunity to edit the appointment, including changing the status. To render the appointment, you can either select Render from the bottom of the screen or use the status dropdown menu to select the status Rendered. Once the status has been changed, select the blue Save button to save your changes. Note that it is possible not all options seen in the image below will be available to you as the available options will be site specific.  


Once you select Render, a separate Appointment Render pop-up will be displayed. Here you can make decisions about action items that should occur upon rendering. These options include the following:

  1. Commit Active Behaviors at 0: Selecting this checkbox results in committing all active behaviors at 0 if no data were collected for them. Note that this checkbox will only be available if there are active behaviors for which no data were recorded. 
  2. Commit Frequency and Duration Programs at 0: Selecting this checkbox results in selected programs using frequency and duration measurement types to be recorded as 0. The programs to commit at 0 are selected using the blue select button beside the checkbox. If no data was recorded the frequency and duration program it will be listed in the select list. Not that this checkbox will not be available for selection if there are no frequency or duration programs mapped to the client’s profile. 
  3. Commit programs in progress: Selecting this checkbox results in committing all program data that were not committed from data recording screen. Note that only programs in which the minimum number of trials was met will be committed when this checkbox is selected. If there are no programs with partial data, for which the minimum to commit was met, this checkbox will not be available.


Following making the necessary selections as outlined above, the user can edit the start and end time of the appointment. Note that rendering actions are dependent upon site configurations. For example, the site may or may not require a parent or guardian signature to render an appointment. If it is required, rendering will be unavailable until the signature is added. Once all sections and required actions have been completed the user can select the OK button on the bottom of the screen to proceed with rendering. If cancel is selected, the user will be returned to the Employee Dashboard and the appointment will remain active.


Client Dashboard

The second, and most common way to change an appointment status from the Mobile-App is through the Client Dashboard. Note that this method is only available if you are in an active appointment. Once you start an appointment, you will be taken to the Client Dashboard, and once in your appointment you can return to the Client Dashboard at any time by selecting the Home icon from the bottom navigation bar.

If at any point during a session the user finds themselves in the Employee Dashboard, they can easily return to the Client Dashboard by selecting the Client Dashboard button in the Active Appointment display. 


An alternative way to regain access to the Client Dashboard is to navigate to My Appointments from the Employee Dashboard. Once here, select the active appointment, followed by the Resume button.

Once on the Client Dashboard, you can render your appointment by selecting Appointment Render. Once selected, a separate Appointment Render pop-up window will be displayed. The same checkbox selections will be displayed as above. Once all sections have been completed, the user can then select the OK button on the bottom left of the screen to proceed with rendering or select Cancel to return to the Client Dashboard without rendering. 



 

Confirming the Appointment Status

If you would like to confirm that the appointment has been rendered, select My Appointments from the Employee Dashboard. The status of the appointment will be displayed with the start and end time of the session directly below. The colored circle to the left of the appointment is also indicative of the appointment status. A blue circle indicates a rendered session, and a blue circle with a white checkmark indicates a rendered session with a parent signature attached.



Reminders

  • Any appointments you render on the Web-App will also appear as rendered on the Mobile-App and vice versa. 
  • Appointments can be rendered within and outside of active appointments.
  • Ability to render appointments is dependent upon the statuses assigned in the admin group. The rendered status needs to be assigned to the group for the employees in that group to be eligible to render appointments.
